Payroll Contracts can be added to a crew member's profile by anyone with the permission 'Admin with Payroll' enabled.
The 'Contracts' section of a crew member's profile can be accessed via 'User Management' found in the top right-hand corner of the page under the Settings cog. Then selecting the crew member you wish to add the contract against. Alternatively, you can go via the Contract details page and find the crew member in need of a contract creation.
General
Once on the Users contract page, you will need to select 'Add Contract'. You will then be able to start adding all the crew members contract details; this will then be used to create the crew members SEA.
On the General page, the system has already provided some details from Workrest. Here you will need to now include the following;
Employment Start Date - Date the crew member joined/started on the vessel
Port of Engagement - The port they joined the vessel from
Calculation Start Date - The date from which you want the leave calculator to start
Add an End Date - optional, depending on the crew member's contract
If you have already saved a contract profile in the system for another crew user, you can select this from the 'Apply Contract Profile' drop-down.
Salary
Here, you can tell the system how you want the crew members' salaries to be calculated. Whether that is Daily or Monthly.
The Salary Currency is set to the Vessels Payroll Currency by default, but this can be changed on a per-user basis if needed.
You can also add a secondary salary for a crew member if they occasionally work a different rate whilst covering a position, etc.
Trial & Notice
You can also add a trial period if required for your crew member. This can be skipped if not required.
If the crew member is partway through a trial period, you will need to include the days remaining. Not the full trial period amount.
E.G. Captain has a 90-day trial period, and they have already completed 45 days. You would only need to include 45 days on the Trial Duration Page.
Calculations
On the calculations page, you will be adding how your crew member accrues their Annual Leave.
You will be able to tell the system how you want the crew users' leave to accrue, whether that is day-by-day or calendar month. If the system-generated rate is set to too many decimal places compared to your own Excel files, you can manually edit this for accurate rates.
e.g Workrest generated an accrual rate of 0.94592; your own accrual rate is 0.95
You can save this information and create a 'Contract Profile' which can then be used for other crew members. You would still need to input the other fields needed to create the contract, but this page would be completed already.
Adjustments
If the crew member is owed or owes the vessel leave days, you can add these on the adjustments page. These will then be added or deducted from the crew member's leave balance.
If they are owed days, add the number of days owed
If they owe the vessel days, include a minus in front of the figure. e.g. -12
Travel
If you do report on travel and the number of flights taken, you can fill in the details under the travel tab. The yearly allowance for flights is not on a return flight basis; you will need to include individual flight amounts.
e.g Crew member gets 6 return flights a year, you will need to add 12 into the yearly allowance field
Review
Before submitting the data, you can review all the data you have input and make any necessary changes. Once you are happy with all the information, you can then submit the contract, and it will be visible on the crew member's account.
Edits
If you realise edits need to be made to the contract after it has been submitted, you will need to go to the 'Contracts' section of the crew member's account and click on the three dots found at the end of the contract line.
Here you will have three options
Add New Contract
Edit Contract
Delete Contract
Editing the contract will take you back to the review page for the contract, where you can then make any necessary amendments.
