Editing a contract

When a contract needs editing there is the option to apply a correction for when you need to fix an error on a contract or apply an update to the contract to apply from a set date.


Making an Edit

Edits can be made from the crew contract area. You can get here by clicking into the settings Icon and selecting User Management.

Then click into the crew members name which will take you to their profile.

Then in the profile area click the contracts tab.

At the end of each contract you will see 3 dots, clicking these will reveal the options to fix, Duplicate, update and delete the contract.


Correction - Fix an Error on Current Contract

This is for corrective changes to a contract information that has been inputted incorrectly.

How to do this

Click the '...' at the end of the contract line and then select 'Correction - Fix an Error on Current Contract.

Then you will be taken to the contract review page where you can click into any element to make the necessary edits.

When the relevant changes have been made click 'Submit'. The changes made will then apply to this contract. Contract changes can be seen in the activity for this contract.

Please Note: This will override the previous contract information with the new edited information and backdate that information to the contract start date.


Duplicate Contract

Allows you to copy all existing information into a new contract for this crew member. This will create a new separate contract with its own start date, information and with no version history. Useful for when you want to create a whole new contract to reflect a change or update but have a lot of existing information remaining the same.

How to do this

Click the '...' at the end of the contract line and then select 'Duplicate Contract'.

You will then need to add a start calculation date for the new contract, which is the date you want this updated contract to go-live for the crew member. Automatically the system will then apply the previous day to be the end date for the previous contract you are duplicating.

You will then progress through the contract information which is pre-filled with the duplicated data, updating any of the relevant information as needed. Once finished click submit

This will add the new contract to the profile.


Update - Updated Version Effective from Set Date

This would be used when a contract change needs applying from a set date, but does not need to be a whole new contract for the crew member. The core contract is still active but there are clear version histories when updates have been made and applied from a specific date. For example a contract change to the rate at which leave accrues. Using the 'update' feature allows you to apply that change whilst retaining a version history of previous contracts.

How to do this

Click the '...' at the end of the contract line and then select 'Update - Updated Version Effective from Set Date'.

You will need to input the date this update is effective from and the system will start to calculate the new rate of leave input automatically from the date chosen.

You will then see the current contract information which you are able to update. Once updated click submit.

When an update is made it will then show an updated version number and you will have the ability to expand to see the previous contract versions.


Delete Contract

This will fully delete the contract and its saved information.

How to do this

Click the '...' at the end of the contract line and then select 'Delete Contract'

You will then need to confirm this action, to prevent accidental contract deletion.

The contract will now be deleted and no longer show in the contracts area for the crew member.


Contract Audit Log

Each contract has an activity column that shows when the last activity took place.

You can click into each contracts 'Activities', which opens the full activity feed displaying all actions, and related details (including who made the action and when).

If there are multiple versions of a contract each version will have its own activity feed. You can see this by expanding the version breakdown and clicking 'activity' against the relevant version.
