How to set and use flight balances

When you create a leave contract, you can assign a flight balance to keep track of how many flights the crew member is taking throughout their contractual period.

Assigning a flight balance

You can assign a flight balance when you're creating a contract for a crew member.

The contract creation process is split into five stages (General, Trial period, Calculations, Adjustments, Travel).

Flights are set at the Travel section of the contract creation process, which is stage five.

If you've set an anniversary for the contract, you'll be able to set a remaining balance and a yearly allowance.

  • Remaining balance - defines the opening flight balance of the first day of the contract.

  • Yearly allowance - defines the number of flights allocated each year. The flight balance will reset to this value on the anniversary date of the contract.

You'll also be able to toggle whether you'd like to reset the flight balance on the anniversary of the contract. It's worth noting that this setting only relates to how flights are reported. If you've set an anniversary date, the flight balance will reset to the yearly allowance by default.

Allocating flights

You'll be able to allocate flights from the balance throughout the year when you schedule leave.

As part of the leave scheduler, you're able to add outbound and inbound travel which can both be assigned flights individually. If you assign a flight to both the outbound and inbound travel periods, you'll deduct two flights from their balance (a return trip is two flights).

Monitoring the flight balance

You can see how many flights a crew member has used along with their current balance on the Leave Summary page.

Resetting the flight balance

If you've set an anniversary date for the contract, the flight balance will reset automatically on that date to the Yearly allowance you set in the contract.

If no anniversary date has been defined for the contract, the flight balance will not renew.
